About the role
We’re seeking an organised, proactive and people-focused Office Manager to be the heart of our workplace. You'll be responsible for maintaining an exceptional and welcoming office environment that takes the company's daily operations to the next level.
This is a dynamic, hands-on role that combines office operations, service coordination, purchasing and administrative support. You will act as a central resource for both employees and management.
Responsibilities
Office operations & front desk
- Be present in the office between 8:00 AM and 5:00 PM.
- Welcome employees, visitors, and external guests.
- Act as the first point of contact for all employees.
- Handle deliveries, office supplies, catering, and other daily needs.
- Ensure the office is clean, safe, and comfortable.
- Monitor lighting, climate, and security systems.
- Oversee office equipment and furniture.
- Manage contracts with suppliers and service providers.
- Handle minor procurement and onboard new vendors when needed.
- Coordinate cleaners, maintenance, and other external partners.
Administrative support
- Manage mail, phone calls, and general correspondence.
- Keep physical and digital documents organised and up to date.
- Support with basic administrative tasks as needed.
- Continuously improve administrative routines and office workflows
Internal events & activities
- Plan and coordinate internal office events (breakfasts, team gatherings, birthdays, etc.)
- Manage event logistics, including invitations, scheduling, headcounts, and calendars.
- Propose new event ideas in alignment with managers or relevant teams.
- Create content for social media posts.
Qualifications
- Experience in a similar role in a fast-paced environment.
- Warm, professional, and service-oriented mindset - driven to create great experiences.
- Detail-oriented and resourceful, with a strong problem-solving approach.
- Confident in juggling multiple tasks and priorities.
- Proactive and independent, with the ability to take initiatives to improve routines and solve issues.
- Confident using Microsoft 365 and other digital tools.
- Strong communication skills in both Swedish and English (spoken and written).
